The Eye Centers of Northwest Ohio is a small but very busy business based in Fremont and Fostoria . We are well established with a solid client base but are planning for significant growth and need a strong Optical technician to join our team.
This is an exciting opportunity for administrators or sales coordinators with a background from (or desire to work in) a technical design, installation and support business. The role offers a broad variety of work, a good package and the opportunity to be an integral member of a friendly and mutually supportive team.
The main objective of this role is to significantly reduce the workload of the two directors.
Admin duties Include:
Monitoring and actioning emails
Answering telephone, dealing with initial enquiries appropriately
Booking business accommodation
Supporting the accreditation application process
Keeping health and safety/accreditation policies up to date
Taking minutes of meetings and following up actions
Document creation and editing
General admin duties
Sales Support duties include:
Preparing quotations (with input from Commercial Director)
Following up job quotations
Working with Commercial Director and Technical Director to schedule work
Ordering of equipment from suppliers in line with work schedule
Preparing reports – completion certificates, O&M manuals etc
Maintaining maintenance schedule, book in maintenance visits, forward and filing certificates
Managing maintenance/service agreement paperwork
Ensuring appropriate job quotations and job sheets are passed to financial controller and then filed
Organising despatches/collections/returns
Skills and Attributes
Fully competent in Microsoft Office 365, Word, Excel
Good verbal and written standard of English
The ability to build strong easy-going relationships with customers, suppliers and colleagues.
Responsible, enthusiastic, reliable and show initiative.
Confident and polite on the phone
Ability to co-ordinate multiple tasks at any one time and be calm under pressure
Organised with high attention to detail and able to learn quickly
Excellent Planning & Organisation Skills – prioritising workloads and resources
Previous Experience
At least two years as an administrator, PA or sales support within an engineering, construction or similar environment.
